Wholesale Sublimation Supplies is the trade store of The Prima Group (Carlisle) Ltd. We operate this website and store, including its content, features, tools, products and services (the "Services"), to supply sublimation, DTF and UV DTF blanks, consumables and equipment to business customers. The store is powered by Shopify. This Privacy Policy explains how we collect, use and share personal information when you visit the site, open or use a trade account, place an order or otherwise contact us. Where our Terms of Service and this Privacy Policy conflict on the handling of personal information, this Privacy Policy applies.

Our customers are businesses, but the people who use the Services on their behalf (owners, buyers, accounts staff) are individuals, and this Policy is about the personal information of those individuals. By using the Services you acknowledge that you have read this Policy.

Personal Information We Collect

"Personal information" means information that identifies you or can reasonably be linked to you. It does not include information that has been anonymised or de-identified. Depending on how you deal with us, we may collect:

  • Contact and business details including your name, job title, company name, trading address, billing and delivery addresses, phone number, email address, VAT registration number and company registration number.
  • Trade account information including the details you give us when you apply for a trade or credit account, the account terms we agree with you, credit limits, invoices, statements and payment history.
  • Payment information including payment card details (which are processed by our payment providers and not stored by us), bank transfer references and transaction details.
  • Account and order information including your login details, order history, the products you view, add to your basket or buy, returns and cancellations, and any preferences you set.
  • Communications including the content of emails, calls, web chat and enquiry forms, and any samples or artwork you send us.
  • Device and usage information including your IP address, browser and device type, and how you navigate and use the Services, collected through cookies and similar technologies described below.

Where We Get It From

  • From you when you open an account, place an order, request a quote, visit our showroom or contact us.
  • Automatically from your device when you use the site, through cookies and similar technologies.
  • From our service providers who collect or process information on our behalf, such as Shopify, our payment providers and our couriers.
  • From public sources such as Companies House and your company website, when we verify a trade account application.

How We Use It

  • Running your account and orders. To set up and manage your trade account, assess and agree credit terms, process orders and payments, invoice you, arrange delivery, handle returns and warranty claims, and keep records of what we have supplied.
  • Serving you. To answer enquiries, provide quotes and technical support, arrange showroom visits and demonstrations, and maintain our business relationship with you.
  • Improving the site. To understand how the site is used and make it work better, including site search, product recommendations and stock and pricing displays.
  • Marketing. To tell you about products, pricing and offers relevant to your trade, by email and, where we advertise, through online advertising. You can opt out at any time (see "Your Rights and Choices").
  • Security and fraud prevention. To keep the site and your account secure, verify that account activity is genuine, and detect and prevent fraud, including automated abuse of our checkout.
  • Legal reasons. To comply with tax, accounting, consumer, export and other laws that apply to us, respond to lawful requests, and enforce our terms.

Legal Bases (UK GDPR)

  • Performance of a contract — to open and run your account, and to supply what you order (Art. 6(1)(b)).
  • Legitimate interests — to run and secure our business, assess trade credit, prevent fraud, improve the site, and market to business customers in ways they would reasonably expect (Art. 6(1)(f)). Business-to-business email marketing to corporate addresses relies on this basis; you can object at any time.
  • Consent — for optional cookies and, where the law requires it, direct marketing (Art. 6(1)(a)). You can withdraw consent at any time.
  • Legal obligation — for example, keeping accounting and VAT records (Art. 6(1)(c)).

Cookies and Similar Technologies

Some cookies are strictly necessary to make the store work, such as keeping your basket, sign-in and checkout secure. All other cookies are optional and are only set with your consent, which we ask for through the cookie banner when you first visit. You can change your choice at any time using the cookie settings link in the website footer, or through your browser controls. With your consent we use optional cookies for:

  • Analytics. Google Analytics, to understand how visitors find and use the site.
  • Advertising. Measuring our advertising and showing relevant products through partners such as Google. These partners set their own cookies and handle your information under their own privacy notices.

Who We Share It With

  • Shopify, which hosts the store and processes payments, orders and customer accounts on our behalf.
  • Service providers who work for us, including payment providers, couriers and delivery services, site search (Searchanise), email and communication tools, IT and cloud services, and accounting systems. They may only use your information to provide their service to us.
  • Advertising and analytics partners such as Google, under their own privacy notices and only where you have consented to the relevant cookies.
  • Our group. Wholesale Sublimation Supplies and Dye Sublimation Supplies are both operated by The Prima Group (Carlisle) Ltd, and we may use shared systems and staff across the group.
  • Where the law requires it, in connection with a business sale or restructuring, or to protect our rights and the rights of others.

We do not sell personal information.

Relationship with Shopify

The Services are hosted by Shopify, which collects and processes information about your use of the store in order to provide and improve the Services. Information you submit is transmitted to Shopify and to service providers that may be located outside the UK. We also use Shopify features that draw on data from your interactions with our store, other Shopify stores and Shopify itself; for those features Shopify is responsible for the processing, including responding to requests about it. Third-Party Links

The site may link to other websites, including our consumer store and our social channels. We are not responsible for their privacy practices; please read their own notices.

Security and Retention

We protect personal information with appropriate technical and organisational measures, but no method of transmission or storage is completely secure, and we recommend you do not send sensitive information over unsecured channels.

We keep personal information for as long as you hold an account with us and for as long afterwards as we need it to meet our legal obligations, resolve disputes and enforce our agreements. Invoices and other accounting records are kept for at least six years after the end of the financial year they relate to, as UK tax law requires.

Your Rights and Choices

Under the UK GDPR you have the right to:

  • Access the personal information we hold about you;
  • Correct information that is inaccurate or incomplete;
  • Delete your information, where we no longer have a lawful reason to keep it;
  • Restrict or object to our processing in certain circumstances, including objecting to direct marketing at any time;
  • Portability: receive the information you gave us in a machine-readable form;
  • Withdraw consent where we rely on it, without affecting processing that took place before you withdrew it.

Marketing emails. Every marketing email we send has an unsubscribe link. Opting out does not stop service emails about your account, orders and invoices.

To exercise any of these rights, contact us using the details below. We may need to verify your identity, and your authority to act for your business, before we respond. We will respond within one month, or tell you if we need longer.

Complaints

If you are unhappy with how we have handled your personal information, please contact us first so we can put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

International Transfers

Some of our service providers, including Shopify, process information outside the UK. Where personal information leaves the UK we rely on a UK adequacy decision or on approved safeguards such as the UK International Data Transfer Agreement or Addendum to the EU Standard Contractual Clauses.

Changes to This Policy

We may update this Policy to reflect changes in our practices, systems or the law. The revised version will be posted here with a new "Last updated" date.
